Overview

Konnect eMail Central is the next-generation Outlook add-in designed to make saving, classifying, and managing emails in SharePoint simple, secure, and compliant. Built for Microsoft 365, it enables users to work seamlessly within Outlook while ensuring all important communications are properly captured and governed in SharePoint.

This guide will help you get started with configuring, and using the Konnect eMail Central (New) add-in in your Microsoft 365 environment.

Before You Begin

To get started, ensure that:

  • You have installed the app, signed-in and the consent (permissions) have been accepted by you (user) OR
  • Your organization’s administrator has granted consent for Konnect eMail Central to connect to Microsoft 365 services
  • You have access to SharePoint sites or libraries where emails will be saved

The add-in might function differently depending on how you’re accessing it. You can access this add-in:

  • While Reading Emails: Launch the Outlook add-in while reading emails and take actions in the context of the email.
  • While Composing Emails: Launch the Outlook add-in while composing an email to add content from the add-in to the email and more

Landing Page

When you open Konnect eMail Central, you’ll arrive at the Landing Page — the central hub where you can access key features, navigate locations, and manage your Outlook-to-SharePoint experience. The interface is designed for simplicity and productivity, giving users quick access to the tools and locations they use most.

Title Bar

The top Title bar displays a welcome message along with your user name, helping you easily confirm which account you’re signed in with.
On the right-hand side, the settings icon opens the App Settings and Logout options — allowing you to adjust app preferences or securely sign out when needed.

This is a global title bar and is accessible from all other screens.

Action Bar

The Action bar provides quick access to the app’s most powerful functions:

  • Suggested Save Locations – Launch this feature to view automatically generated suggestions of where to save your currently selected email, based on conversation history or sender details.
    Note: to enable this feature you must configure the search mappings at the tenant level, refer to this page for instructions.
  • Global Search Bar – Use this to search across all of Microsoft 365 for folders, files, or both. You can choose to search only folders, only files, or everything for faster and more relevant results.

Locations Panel

The Locations panel gives you quick access to all your collaboration spaces across Microsoft 365. It includes:

  • Favorites – Easily return to folders or libraries you’ve marked as favorites. This section appears only after you’ve added at least one location to your favorites list
    • Quick Save: use the save button to quickly save the currently selected email/s
    • Rename: since this is your favorites list, you can rename them to suite your needs. This is only for display purposes and does not rename the actual location
    • Remove: option to remove a location from the list
    • Browse: click on the location name/icon to open
  • Recent Locations – Quickly revisit your most recently accessed folders or lists. This section appears only after you’ve added at least one location to your favorites list.
    • Quick Save: use the save button to quickly save the currently selected email/s
    • Remove: option to remove a location from the list
    • Browse: click on the location name/icon to open
  • SharePoint Sites – Browse and access connected SharePoint locations.
    • Add/Remove: to update the sites list click on the cog wheel (settings icon) on the section header
    • Browse: click on the location name/icon to open
  • Teams Locations – View and save to Microsoft Teams-linked document libraries.
    • Add/Remove: to update the sites list click on the cog wheel (settings icon) on the section header
  • OneDrive – Access your personal OneDrive storage for quick email saves.
    • Browse: click on the location name/icon to open

Details/List Page

The Details/List Screen in Konnect eMail Central provides a contextual view of the items within a selected SharePoint, Teams, or OneDrive location. It combines intuitive navigation, targeted search, and context-aware actions to help users save, attach, or manage emails and documents efficiently.

Breadcrumb Navigation

At the top of the page, the breadcrumb trail displays your current location path within SharePoint or Teams. It provides an easy way to track where you are and quickly navigate back to previous folders or libraries. This feature is key to efficient navigation, especially when working within deeply nested folder structures.

Action Bar

The action bar contains key navigation and content management tools:

  • Back Button – Returns you to the previous screen or parent location.
  • Search Bar – Allows you to search within the current location only, helping you narrow results when looking for specific folders or files.
  • New Folder – Accessible through the More (⋯) menu, this lets you create a new folder within the current library or folder.
  • Advanced Search – Opens the advanced search panel, providing additional filters and options for more precise results.

Details List

The details list displays all items (folders, libraries, or files) within the currently selected location. It’s fully context-driven, adapting to the user’s Outlook mode and actions.

  • Each folder or library includes a Save icon for quick email saving (visible only when Outlook is in Read Mode).
  • Each item also includes a More (⋯) menu with additional context actions.
  • When Outlook is in Compose Mode, folders do not display the Save icon. Instead, files display an Attach icon, allowing you to quickly attach SharePoint documents to your email.
  • The list also supports column sorting and free-text filtering, enabling users to quickly organize or locate specific items within the current view.

Email Attachments Panel

This section appears only when a single email containing attachments is selected. It displays the list of attachments and provides flexible saving options:

  • Save Email Only
  • Save Selected Attachment(s) Only
  • Save Email and All Attachments (each as individual files)

This panel gives users fine control over what content they wish to save to SharePoint or another location.

Action Buttons

Located at the bottom of the screen, the Action Buttons dynamically adjust based on context:

  • Back – Returns to the previous view or navigation level.
  • Primary Action Button – Context-sensitive and changes depending on Outlook mode and user selection:
    • Save – Appears when Outlook is in Read Mode and one or more emails (or attachments) are selected for saving.
    • Replace – Appears when Outlook is in Read Mode and the selected file type matches an existing file in the details list; this creates a new version of existing file.
    • Attach – Appears when Outlook is in Compose Mode, allowing the user to attach files from SharePoint, with the option to Insert as Link.

Settings Page

The Settings Page in Konnect eMail Central (New) allows users to personalize their experience, manage licenses, and configure how the app behaves when saving emails and attachments. Each setting helps tailor the app to match individual or organizational preferences for appearance, file naming, and collaboration.

License Key

The License Key section allows you to update or replace your existing license key.
If your organization has renewed or upgraded its subscription, you can enter the new key here to activate or extend your license.

Appearance

  • Default – Follows your Outlook or system theme.
  • Light – Bright, clean interface optimized for well-lit environments.
  • Dark – Low-contrast design ideal for darker workspaces or reducing eye strain.

Customize how the app looks and feels by selecting a preferred theme.
Options include:

Filename Options

Control how filenames are generated when saving emails or attachments to SharePoint. This section includes three sub-settings:

  • Filename Format – Defines how filenames are constructed. Use configurable tokens such as {Date}, {Time}, {Subject}, and {From} to build meaningful filenames automatically.
  • Filename Length – Limits the maximum length of generated filenames to prevent excessively long file names.
  • Filename Date Format – If {Date} is included in the filename format, specify your preferred date style (a range of dd.mm.yy or mm-dd-yyyy combinations are available).

Attachment Options

When enabled, this setting ensures that the app writes email metadata to attachments as well.
This means details such as email date, sender, recipient etc. are automatically applied to attachments saved alongside the email, preserving full context for record-keeping and compliance.

Preferences

The Preferences section controls additional productivity and collaboration behaviors. It includes three sub-settings:

  • Show Edit Form After Saving – If enabled, a SharePoint metadata form appears after saving, allowing users to enter or modify custom metadata for the saved file.
  • Share to Teams Channel After Saving – When enabled, a prompt appears after saving to a Teams channel, allowing you to post an update and notify team members of newly saved items. (This option only appears when the save location is a Teams channel.)
  • Enable Email Category – Automatically tags saved emails in Outlook with a visual category label, helping users identify saved items at a glance.
    • Category Text – Specify a custom label to display in Outlook (e.g., “Saved to SharePoint”).

Reset

Use the Reset to Default Settings option to restore all configurations to their original defaults or your organization’s global defaults (if centrally managed).
This includes resetting appearance preferences, file naming settings, and connected SharePoint or Teams sites.
